Data we collect

We only collect information that you provide through the Contact Us form, direct email and your submitted Membership Registration Form, as follows:

Explicitly: Content entered into the contact/registration form text boxes and information within emails we receive.

Automatically: Email 'header' information and when using our online contact form, your browser information (e.g., User Agent: Mozilla/5.0 (Linux; Android 10; K) AppleWebKit/537.36 (KHTML, like Gecko) Chrome/131.0.0.0 Mobile Safari/537.36) and your IP address.

Email / Marketing Tracking Links

We use tracking attributes in certain links to measure marketing effectiveness. The data collected includes the only time of the click and the specific link that was clicked. This data is used solely for analysing campaign performance and does not include any other information whatsoever.

Who has access to your data

Only the organisers of Doncaster Badminton, as defined in the most recent version of our 'Club Rules' document, have access to this information.

Purpose

Why do we collect this data?

Data Retention

We may retain this information indefinitely to enable comparison if someone with the same first and last name contacts us in the future. This helps us determine whether it is a returning individual or a new contact.

Your Rights

Right to Be Forgotten

You have the right to request, free of charge, that that your personal data be erased. This will be achieved by anonymising your personal data.

Right to Review

You have the right to review, free of charge, all personal information we hold about you or minors in your care, provided it has not already been anonymised.

What anonymous data is / is not held

What is removed

• Any fields of our database that include your name, phone number, email, medical/health information, and so forth are deleted/blanked.

What is not removed

• Your membership ID number; a random 4-digit number that was attibuted to your record at the time of its creation.

• Associated records that refer only to that 4-digit membership ID number.

Anonymous Data Retention, and Review

Anonymised data may be stored indefinitely as it cannot be used to identify or reconnect with any individual and is only retained to maintain generalised financial information, or statistical purposes.

Anonymised data may not be shared with others as there is no way to tell if the information being disclosed is related to the individual making the access request.
